Zoho Books is read by scheduled export, one organisation at a time. An administrator authorises each organisation once, and nothing is ever written back.
How a group looks in Zoho Books
Each organisation is an entity, with its own chart of accounts, and Zoho reports per organisation. Any one set of books is easy to read. The work is that six flat charts, built by six people, describe the same group six different ways.
How the data is read
Each organisation exports its trial balance on a fixed layout, on every Zoho Books plan. The file is checked for totals and unmapped accounts before anything is accepted. The data is as current as the last export.
What IT stops doing every month
Exporting reports organisation by organisation, and re-sending the one that got missed.
Questions
Commonly asked
Is this a live connection?
No. Zoho Books is read by scheduled export, so the trial balance is as current as the last export. Worth knowing before you set a close calendar around it.
What if we run several organisations, each with its own chart of accounts?
That's the normal case. Each organisation exports on the same fixed layout, and the differences between the charts are resolved once in the mapping.
Does someone have to log into Zoho every month?
No. An administrator authorises the connection once per organisation, and the reads run on schedule after that.
Which Zoho Books versions and plans are supported?
All Zoho Books plans. The scheduled export the connection relies on is available on every plan, so which one your organisations are on does not change what can be read.
Can a reported figure be changed in our books by mistake?
No. The connection only reads. Where a figure needs explaining, the explanation is in Zoho, and nothing here changes it.
