Your IT team approves one OAuth connection per company, with read-only scopes. After that the trial balances refresh on their own.
OAuth 2.0 is the standard sign-in approval that QuickBooks apps use. You can revoke it whenever you like.
How a group looks in QuickBooks
Each company is its own file, and QuickBooks doesn’t consolidate across them. The books are simple to read, but the chart of accounts is usually flat with little subledger detail, so the analysis a group needs comes from the mapping.
What is read
Profit and loss, balance sheet, trial balance, and AR and AP ageing. The ageing reports matter because intercompany balances usually disagree first in receivables and payables.
What IT stops doing every month
Exporting reports whenever finance asks. In most QuickBooks groups that’s all of IT’s monthly involvement, and it goes away.
Questions
Commonly asked
Can several QuickBooks companies be connected at once?
Yes, through QuickBooks Online Accountant, so nobody has to log into each company separately.
What access does the connection ask for?
Read-only scopes, approved through OAuth 2.0, the same authorisation any QuickBooks app uses. You can revoke it at any time.
Our chart of accounts is flat and has little subledger detail. Is that a problem?
No, that's normal in QuickBooks. The detail your group reports on comes from the mapping, so a flat chart doesn't limit the reporting.
Which QuickBooks products are supported?
QuickBooks Online and QuickBooks Online Accountant. If you are on anything else, tell us what it is before you plan a close around this page.
Does someone have to pull reports every month?
No. Once the connection is approved, trial balances refresh on their own.
